Main Purpose of the Job

Reporting to the Director Logistics with dotted line to Programmes, their key task is to organize the safe and efficient storage and distribution of pharmaceuticals and health commodities at hub level, and to ensure that orders are delivered to clients correctly and timely. Accountable for the successful operation of the hub which is predominantly a cross docking operation. 

Main Responsibilities of Job

  • Provide overall leadership and management of the Regional hub
  • Responsible for the product receipt processes, product marshalling and dispatch
  • Responsible for all hub operations including resource allocation and coordination, coordinating drivers, vehicles, loads, journeys, fuel and fleet management
  • Oversee the financial management for hub operation including authorization and disbursement of cash
  • Ensuring that all financial reporting and management accounts are prepared and submitted timely
  • Represent MSL in regional/provincial/stakeholder meetings
  • Operating IT Systems (MACS)
  • Ensuring inbound products and outbound orders are processed accurately, securely and within agreed service levels
  • Working with health centres, MoH provincial and district centres to manage products returns (expired, damaged etc)
  • Liaising with the MoH district and provincial pharmacists for review of orders and hub operations in accordance to PRA requirements
  • Accurately entering orders from health centres into WMS (MACS)
  • Preparing relevant paperwork for regulatory bodies such as PRA
  • Collecting logistics information from clients including the management of flow of paperwork up and down the supply chain
  • Implementation and monitoring of best practice of hub operations
  • Management, motivation and organization of a small team, ensuring they are trained to a standard that enables agreed service levels to be met
  • Ensuring the maximum accuracy and security of company’s electronic data
  • Assisting in the development of systems and processes used within the Hubs including setting key performance indicators
  • Conduct assignments as instructed by the supervisor 

Qualifications, experience and competencies

  1. Must hold at least Degree/Diploma in Logistics, Business Management, Supply Chain, Transport Management or equivalent
  2. Experience working in Logistics/Distribution operations is a distinct advantage
  3. Excellent knowledge of systems and business processes
  4. Excellent communication skills and ability to develop working relationships
  5. Numerate and articulate, with an excellent eye for detail
  6. Competent with Microsoft software package and Warehouse Management Systems
  7. Proven ability to work to stringent deadlines
  8. Proactive and able to show initiative/ideas to constantly improve processes
  9. Team player and willing to be flexible
  10. Excellent work and customer care ethos
